Adams & Martin Group is partnering with a highly regarded law firm in Irvine to identify an experienced Litigation Secretary for a temp-to-hire opportunity. This position offers the chance to join a collaborative legal team and provide high-level support to attorneys handling complex litigation matters from case inception through resolution.
The ideal candidate will have a strong litigation background, excellent organizational skills, and extensive experience supporting attorneys in a fast-paced legal environment. This role requires proficiency with state and federal court procedures, e-filing platforms, document preparation, and litigation calendar management.
Position Overview
The Litigation Secretary provides comprehensive administrative and secretarial support to attorneys, ensuring the efficient management of litigation matters. Responsibilities include preparing and filing legal documents, coordinating deadlines and court appearances, maintaining case files, and assisting with trial preparation. Success in this role requires exceptional attention to detail, strong communication skills, discretion, and the ability to manage multiple priorities simultaneously.
Essential Duties & Responsibilities
- Prepare, revise, format, and finalize legal documents, correspondence, memoranda, pleadings, and emails from drafts and attorney edits.
- Manage all aspects of state and federal court e-filing, including preparation, filing, service, and tracking of court documents.
- Support litigation matters through all phases of the case lifecycle, from inception through trial.
- Assemble exhibits, pleadings, discovery materials, and supporting documents for court filings, hearings, arbitrations, mediations, depositions, and trials.
- Proofread and quality-check legal documents for accuracy, grammar, formatting, and compliance with court requirements.
- Prepare and update Tables of Contents (TOC) and Tables of Authorities (TOA).
- Coordinate attorney calendars, meetings, court appearances, depositions, and deadlines.
- Maintain and monitor critical litigation dates and ensure all deadlines are accurately calendared.
- Open new matters and process conflict checks and client intake documentation.
- Utilize legal technology, document management systems, and Microsoft Office applications to efficiently manage case files and workflow.
- Coordinate attorney travel arrangements, including airfare, hotel accommodations, and transportation when necessary.
- Manage incoming mail and electronic communications, routing and prioritizing matters appropriately.
- Assist with preparation of presentations, attorney biographies, client-facing materials, and other administrative projects.
- Provide backup support to attorneys and staff as needed.
- Maintain strict confidentiality regarding client, personnel, and firm information.
- Perform additional duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required.
- Minimum 5 years of litigation secretary experience in a law firm environment.
- Strong knowledge of California civil litigation procedures and court rules.
- Experience with both California state court and federal court e-filing systems, including CM/ECF.
- Exceptional writing, editing, proofreading, and document formatting skills.
- Advanced proficiency with Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Experience with document management systems such as iManage is highly preferred.
- Experience with Best Authority or similar TOC/TOA software is a plus.
- Strong organizational skills with the ability to manage multiple attorneys and competing deadlines.
- Professional verbal, written, and interpersonal communication skills.
- Ability to work independently while maintaining a collaborative team-oriented approach.
- Proven reliability, professionalism, and attention to detail.
